Privacy policy for the Setapp edition

Last updated: November 4, 2026

MeetingVault is operated by Joe Bond Consulting, the data controller. Contact: privacy@getmeetingvault.com.

This policy covers MeetingVault installed from Setapp. If you downloaded MeetingVault from getmeetingvault.com, see the privacy policy for the direct download at getmeetingvault.com/privacy.

The short version

MeetingVault turns your meetings into notes on your Mac. Audio, transcripts and notes stay on your Mac unless you choose to send them. MeetingVault has no account, no analytics and no ads. In the Setapp edition, Setapp handles your membership and updates, so MeetingVault has no license key, no trial, no payment and no update checks of its own.

What stays on your Mac

  • Temporary audio. Captured during a meeting in ~/Library/Application Support/MeetingVault/audio/ and deleted after transcription. If transcription fails, the audio is kept so it can be retried.
  • Transcripts and notes. In a local database at ~/Library/Application Support/MeetingVault/meetingvault.db, until you delete them.
  • Settings. In standard macOS preferences.
  • Calendar. If you allow it, MeetingVault reads your calendar on your Mac. When you start recording without typing a title, it saves the current event's title as the meeting title in its local database. It stores nothing else from your calendar and sends none of it.
  • Browser address. If you allow it, MeetingVault reads the address of your browser's front tab through macOS automation to notice when a web meeting starts. MeetingVault does not store or send the address.

Speaker labels come from the audio source only: your microphone is "Me" and system audio is "Them." MeetingVault creates no voiceprints or other biometric data.

What leaves your Mac

Only these, and never your audio or meeting content unless you send it yourself:

  • Speech model downloads. Apple's speech engine, the default, uses an on-device model that macOS downloads from Apple. If you pick the optional Parakeet engine in Settings, MeetingVault downloads that model from Hugging Face. Neither download sends anything about you or your meetings.
  • Setapp. The Setapp framework inside MeetingVault talks to the Setapp app on your Mac to confirm your membership. MeetingVault reports to Setapp that you used it when you open its menu-bar window, start a recording, or start dictation, which is how Setapp counts active use. Setapp's privacy policy (Setapp > Settings > Privacy) describes how Setapp handles that data.
  • Feedback you choose to send. The feedback form in Settings sends your message, the reply email you enter (optional), the app version, the macOS version and which edition you use (Setapp or direct download) to getmeetingvault.com. Include diagnostics is on by default and adds your Mac model, the speech model status and recent app logs. Turn it off before you click Send to leave them out. We store the report and email it to our support inbox through Brevo, and send one confirmation to the reply email if you give one. Report an Issue, in the menu you get by right-clicking the menu bar icon, instead opens an email draft with the same details and a file of recent app logs, for you to review and send yourself.
  • Feedback on a note. The Send feedback link under a generated note opens a form on getmeetingvault.com in your browser. The page address carries that note's text, your app version, macOS version, chip, memory, model names and meeting length. Cloudflare, our web host, keeps that address in its request log for up to 7 days. If you click Send Feedback, we store the note text, what you typed, any transcript you paste and those details as a feedback report, and handle it like one sent from Settings.
  • AI summaries, if you use LM Studio. Apple's on-device model writes summaries entirely on your Mac. If you pick LM Studio as the notes engine, MeetingVault sends the transcript and the text you dictate to that server's address, which is your own Mac unless you change it.

What MeetingVault does not have in the Setapp edition

No payment processor, no license key or license checks, no trial, no invite or referral program, no account, and no update checks. Setapp provides the membership and delivers updates.

Permissions

  • Microphone. To capture your side of the meeting.
  • Screen & System Audio Recording. Optional. To capture the other participants' audio. MeetingVault does not record your screen.
  • Calendar. Optional. To suggest meeting titles and help transcription spell names from the event.
  • Automation (your browser). Optional. To notice when a web meeting starts.
  • Notifications. Optional. To tell you when a meeting is detected or a recording stops.

Retention and deletion

Audio is deleted after transcription. Notes and transcripts stay until you delete them in the app. Removing MeetingVault and its Application Support folder removes all of its data from your Mac. We keep a feedback report you send on our server and in our support inbox. Email privacy@getmeetingvault.com to have it deleted.

Children

MeetingVault is intended for people 18 and older.
